Do the arithmetic once and downtime stops being an abstraction. A mid-range production press billing the equivalent of US$60–100 per hour in printed work, with jobs queued behind it, does not merely lose that hourly revenue when it stops. It puts delivery promises at risk, forces overtime to catch up, and in the worst case sends a deadline job to a competitor along with the customer relationship attached to it. Preventive maintenance is boring, which is exactly why it works. The discipline splits into three rhythms. Daily: clean the charging units and paper-path sensors per the manufacturer's schedule, check waste toner and developer levels, and verify registration and colour on the first live job of the shift. Weekly: remove paper dust from the feed and transport sections, inspect the fuser area, and run a full calibration rather than trusting yesterday's. Monthly: replace air filters, check feed rollers and separation pads for wear, and reconcile the machine's own maintenance counters against the service schedule. Shops that follow the checklist without exception report dramatically fewer emergency callouts than shops that clean when quality visibly degrades.
A service contract is only as good as its specifics, so read past the headline percentage. The items that matter: guaranteed response time in writing — four business hours in a major city versus next-day upcountry is a real operational difference; whether parts, labour and travel are all included or invoiced separately; how consumables and so-called consumable-classed parts like drums and fuser units are treated, because this is where cheap contracts hide their cost; and what happens during extended downtime — a loaner unit, priority rebooking on a sister machine at the dealer's demo room, or contractual service credits. If a promise is not written into the contract, it does not exist.
In Southeast Asia most production engines are sold with a cost-per-click (CPC) contract that bundles toner, parts and labour into a per-page rate. This structure is genuinely useful — it makes your service cost proportional to revenue — but the details deserve negotiation. Understand the minimum monthly billing, whether colour and mono clicks are tiered by coverage or sheet size, what the annual escalation clause says, and whether the response-time guarantee sits inside the CPC agreement or in a separate, vaguer document. Ask for uptime reporting to be part of the deal: a vendor confident in its service organisation will agree to measure it.
Modern presses phone home, and you should let them. Dust and unstable mains power are the other regional realities — replace filters more often than the temperate-climate manual suggests, and put the press behind a proper voltage stabiliser. Every service manager in the region will confirm: climate discipline is the difference between a machine that ages well and one that does not.
Finally, schedule maintenance like production, because it is production. Book preventive visits into known quiet windows — for much of the region that means avoiding the pre-Tet and pre-holiday peaks when every hour of capacity is sold. Track two numbers monthly: uptime percentage and total service cost including your own labour. After a year you will have the data to renegotiate your contract from a position of knowledge, to justify a second engine as redundancy if one press carries the whole shop, or to conclude that your ageing machine's true cost has quietly overtaken the finance payment on a new one. Uptime is not an engineering statistic; it is the asset you sell.
